NPI Policies


Register early and SAVE! NPI continuing medical education conferences offer a $100 early bird registration rate if you register more than 30 in advance by entering the corresponding discount code listed on the individual course page.

Register for for two courses at one location & SAVE $200 by entering the discount code found on the Conference Locations and CME Schedule page under the individual location.

Residents, students, nurses, and physician assistants receive a 10 percent discount on course registration fees. Please email registrar@NPInstitute.com for more information.

If you attend five NPI CME conferences within a three-year period, you will be entitled to a 50 percent discount on your sixth course. Please call or email registrar@NPInstitute.com for more information.

NOTE: NPI will honor no more than two discounts for each registration. Discounts do not apply to the purchase of products. NPI does not offer retroactive discounts. The early bird discount counts once per conference for discount calculations. NPI has the authority to revoke discounts applied to multiple course registrations in the event of a cancellation.

Hotel Room Blocks

NPI has contracted a room block with a discounted rate at the host hotel for conference attendees. This rate is only valid up until the listed cut-off date. You must call the hotel directly, or use the provided web link (if applicable), and mention you’re with National Procedures Institute in order to receive the discounted rate.

NPI encourages you to make your hotel reservations as early as possible as the room block can fill up before the posted cut-off date.

The hotel will not be able to guarantee room availability or the discounted rate once the room block is full.

Once the cut-off date has expired, all remaining rooms in the contracted block will go back into the hotel’s inventory and will be subject to their availability and prevailing rates.

NOTE: Our website will not stop you from registering for an available course simply because the room block is full or cut-off date has passed. If you choose to cancel a conference due to hotel unavailability, all of our regular cancellation policies will still take effect.

Special Needs, Dietary Requirements and Food & Beverage Functions

NPI will make every effort to accommodate registrants with disabilities and special needs. Please notify NPI if you require special accommodations or arrangements to fully participate. We ask that you email a brief description of your needs to Heather@NPInstitute.com.

NPI provides conference attendees a continental breakfast, lunch, and an afternoon break. These meals all include vegetarian options; however if you have specific dietary restrictions, please let us know prior to the course start date or the hotel may not be able to fulfill your request.

Please email Heather@NPInstitute.com at least one week before the posted start date of your conference so we are able to work with you to provide a suitable replacement.

All food and refreshments (including coffee) offered during NPI conferences are for paid attendees ONLY. Family members or any others who might be travelling with you are not permitted to partake in the conference food and beverage functions. We purchase only enough for our registrants, and any unpaid patrons will be asked to leave the food and beverage area.


For cancellations more than 30 days prior to course start date, a registrant is entitled to a refund, credit or transfer of the original registration amount less a $100 processing fee.

For cancellations between 7 and 30 days prior to course start date, a registrant is entitled to a refund, credit or transfer of 50 percent of the original registration amount.

For cancellations less than 7 days prior to course start date or for “no-shows,” no refunds, credits or transfers are awarded.

In the case of an emergency, a registration can be transferred to a colleague or future conference. Please email written notice of your intent to forward your registration by providing your name, the course name and date, and your colleague's name and contact information or conference you wish to transfer to at registrar@NPInstitute.com at least one business day prior to the course start date.

A written notice is required to cancel a registration. Please email your name and the course you wish to cancel to registrar@NPInstitute.com or send via fax to (512) 329-0442. Your cancellation will be processed within 48 hours and an email notification will be provided to the email address associated with your NPI profile.

A refund is defined as a registrant canceling a course and receiving back the amount paid at registration (less a $100 processing fee) via check or credit card. NPI can only process refunds up to one calendar year from initial purchase unless the course is cancelled directly by NPI.

A credit is defined as a registrant canceling a course and keeping the amount paid at registration (less a $100 processing fee) in their NPI account to be used within one year on a future course.

A transfer is defined as a registrant canceling a course and using the amount paid at registration (less a $100 processing fee) on a future course. A transfer must be used immediately.

In the event of a credit or transfer, the registrant is subject to pay any difference in price of the future course and will lose previous discounts that may have initially applied. Should the future course price be less than the credit or transfer amount, the remaining balance will remain in your account as a credit.

A refund can only be obtained on the original transaction. Courses that are paid via course credit or transfer are not eligible for refund. You may reschedule a course twice before the course credit becomes invalid.

Cancellation of Course

A minimum number of registrants are required for each course. If the minimum is not met and it should become necessary for NPI to cancel a course, a full refund will be issued in the amount which you paid at the time of registration. NPI is NOT responsible for any travel expenses you may have incurred prior to, or after, cancellation of the course.

Sold-out Courses

NPI sets a maximum number of registrants per course. If you are trying to register for a course that is sold out, please call the NPI main office (866-674-2631) to be placed on our waiting list or email registrar@NPInstitute.com.

NPI is NOT responsible for any travel expenses you may have incurred prior to, or after, the course sells out.

NPI is not responsible for accommodating unconfirmed registrations in the event of a sold-out conference.

Special Notes

Payment is due in full at the time of Registration. You will receive an email invoice, or proof of purchase, from our office when we receive your payment for a medical conference. Please contact us at registrar@NPInstitute.com to ensure your registration has processed if you have not received an email invoice from us within 48 hours (and check your spam folder too). Your registration is not finalized until you receive this receipt from our office. We are not responsible for accommodating unconfirmed registrations in the event of a sold-out conference.

You will also receive a Registration Confirmation Email prior to your conference. This letter will include hotel and other registration information. This will serve as the only reminder of your course registration. NPI does not send out additional reminders, so please mark your calendars accordingly.

You will receive all course materials onsite at the start of the course. We do not mail out materials prior to the course.

In order to make the educational experience the best possible for our attendees, we do not permit “observers” to attend our conferences. Only registered attendees will be allowed into NPI courses. Family members, spouses, children, office staff or friends are not allowed into the room where the course is being held due to our accreditation standards.

Some of the courses offered by NPI include exhibitors with products and/or equipment related to the course procedures. As an attendee interested in learning more about the procedure, NPI will be happy to share your contact information (provided on your NPI profile page) with the exhibitor so that they may discuss products and equipment with you after the course is completed. If you do not wish for NPI to share your contact information, please let us know in writing by emailing us at registrar@NPInstitute.com prior to the course start date and reference exhibitors.

NPI reserves the right to change prices, agendas (including accreditation information) or other CME conference information without notice.
